## The Business Owners Paradox

The very thing making you too busy to sort out your finances is often the thing an accountant could take off your hands. But first, you have to find 20 minutes to let them.

### I am too busy to save myself time

It is a conversation we have surprisingly often. A business owner gets in touch because the bookkeeping, VAT, payroll, invoices and general finance admin are swallowing hours every week. They are doing it at night, at weekends or in the gaps between the work that actually earns money.

They know it is not sustainable. They want help. We have the conversation, agree what needs done and send over a proposal explaining the service, the fee and the next steps.

Then nothing happens.

A week later we follow up. The reply usually says something like: ‘Sorry, I have not had time to look at it. I am absolutely snowed under.’

And there it is: the business owner's time paradox. They are too busy doing the work they want us to remove to spend 20 minutes authorising us to remove it.

Busy work keeps winning

I do understand it. When you run a business, the urgent has a habit of trampling all over the important. A customer needs an answer. A job overruns. Somebody does not turn up. A supplier wants paid. The proposal from the accountant is not on fire, so it slips to tomorrow. Then next week. Then next month.

Meanwhile, the owner is still spending five hours a week doing work they do not enjoy, are not especially good at and should not really be doing in the first place. That is more than 250 hours a year. More than six full working weeks.

This is not really a time-management problem. It is a decision-making problem. The owner is protecting today's 20 minutes at the expense of hundreds of hours in the future.

### The hidden cost is bigger than five hours

The obvious cost is the time spent on the books. But that is only part of it. There is also the mental clutter of knowing the bank needs reconciled, the VAT return is due and the figures may or may not be right.

There is the opportunity cost too. Five hours spent wrestling with finance admin is five hours not spent quoting, selling, managing the team, improving margins or speaking to customers. It is also five hours not spent away from the business altogether.

And if the information is late or unreliable, the owner is making decisions without a clear view of cash, profit or tax. The job may technically get done, but the business is still paying for it.

### Delegation has a small entry fee

Handing something over is not completely effortless. You have to read the proposal. Ask the questions. Sign it. Supply the information. Spend a little time helping the new adviser understand the business.

That initial effort is the entry fee for getting the time back. There is no version where someone magically takes responsibility without you first making the decision and giving them what they need.

The good news is that the entry fee is usually small. The proposal will not take five hours to read. It probably will not take 20 minutes. And once the work has been handed over properly, the time saving repeats every week.

### Make the decision that creates capacity

If this sounds familiar, stop waiting for a quiet week. It is not coming. If you had spare time, you would not be looking for help in the first place.

Block out 20 minutes. Read the proposal. Decide whether it solves the problem and whether the fee makes sense. If it does, sign it and get the process moving. If it does not, say no and move on. Either answer is better than leaving the problem sitting in your inbox while it continues to consume your week.

Sometimes the reason you are permanently busy is that you keep postponing the decisions that would make you less busy.
